Meetings Maestro is operated by AI Lean Solutions LLC. Meetings Maestro is a private scheduling and communications service for authorized meeting service roles. This policy explains what information may be collected and how it is used during the pilot.

Information We Collect

Meetings Maestro may collect information needed to operate meeting schedules and communications, including:

• Names or initials for meeting service roles, speakers, leaders, and opted-in members.
• Phone numbers, email addresses, consent records, opt-out status, and communication history.
• Meeting schedules, activities, locations, speaker bookings, leader assignments, and completion records.
• Administrative audit records, import history, and support records.

How We Use Information

We use information to administer private meeting operations, send requested or consented communications, prevent duplicate scheduling, manage cancellations and fallback workflows, maintain history, and support authorized users.

Text Messages

If you opt in to receive text messages, Meetings Maestro may send meeting reminders, schedule updates, location updates, speaker or leader coordination messages, and related operational notices. Message and data rates may apply. Message frequency varies. You can reply STOP to opt out and HELP for help.

Mobile opt-in data and consent records will not be shared or sold to third parties or affiliates for marketing or promotional purposes.

How We Share Information

We do not sell personal information. Information is shared only with service providers needed to operate the application, such as hosting, messaging, authentication, and support providers, or when required by law.

Security

Meetings Maestro is designed for private access, meeting-scoped permissions, audit logging, encrypted sensitive fields, and least-privilege access. No system can guarantee perfect security, but we design the service to limit unnecessary collection and exposure.

Retention and Deletion

Meeting administrators may archive operational records. AI Lean Solutions LLC may delete contact information or meeting data when appropriate, subject to limited records needed for security, consent, audit, or legal purposes.
